One of our products that receives excellent reviews is our Charged Off Processing System (COPS). The COPS system was designed to provide banks and other companies with the capability to manage and track charged off accounts, such as loans, credit cards and deposit accounts. By using the COPS system to manage their charged off accounts, many financial institutions are recovering money that would have otherwise gone unnoticed. The design and development of our COPS system was based on the requirements of loan officers, loan operations and collections departments. The combined effort has resulted in a complete, powerful and user friendly system that hosts a broad range of features and functions. COPS can provide each user with the tools necessary to organize, automate and control this part of banking.

Simplistic and User Friendly
The Development of the COPS system started in mid 1999. The system was designed by several financial institutions and Southern Financial Systems. The goal was to design and develop a charged off processing system that was complete, powerful, and user friendly. With the combined effort of loan officers, loan operations and collection departments the first release was completed and installed in time for Y2K. Over the last three years we have continued to migrate the features and functions of the system. Today COPS is one of the best charged off systems on the market.

Multiple Applications
The COPS system allows for up to 98 different applications. Most banks set up a charged off application for loans, checking accounts and credit cards. Each application can be maintained separately for such task as reporting and balancing.

Quick and Easy Access
The single main menu design allows easy access to all functions of the system, even reporting. Simply select the customer lookup option and enter either the customer short name or social security number. You can now inquire, quote payoffs, maintenance or post transactions.

Security Controlled
You can allow all users access to the inquiry options but have password control for options that can alter data. For example loan officers and customer service reps can have unlimited inquiry capability while loan operations would control all maintenance and data input.

Informational Data Base
The COPS system was designed with an abundance of fields associated with
maintaining and processing charged off accounts. The base system is organized into four major screens, customer information, account information, legal information and bankruptcy information.

Account Level Memos
Up to 9,999 memos are allowed on each account. Each memo consist of an origination date, expiration date and 150 characters of data.

Transaction Posting
The transaction posting menu is simply divided into credits and debits. Payments can be split between principal, interest, legal fees and other costs. Debits can include reversals of all payment splits, principal advances and charges for fees and cost. The system displays a before and after screen so the user can review the effect of the current transaction.

Standard History Inquiry
Complete transaction history will be available for the life of the account. Each history item contains the actual date posted, effective reporting date, type of transaction, transaction amount and the current balance after the transaction was posted. Also included in the detail is a user input description that can be used to log the purpose of the credit or debit. For example, credit due to sale of collateral, charges for attorney fees, payments from the bankruptcy courts, etc.

Interest Calculation and Accrual
The system allows for the input of the applicable interest rate. At input time the system will calculate a daily factor and accrue interest based on the effective date of the charged off account. The daily update will continue the accrual process based on the banks open and closed days. The COPS parameter file allows for 21 holidays. The interest will accrue forward over weekends and holidays.

Repayment Tracking
The user has the capability to easily process and monitor those accounts that are in a repayment condition. The system will allow for due dates with scheduled payments or estimated payments from the bankruptcy courts. All payments are monitored by the system during the transaction posting process. A message will be display on all loans found to be in a repayment status. This gives the user the option to allow the system to advance the due date. Two past due reports are available for reporting customers that are past due.

Extensive Reporting Module
The reporting module features a broad range of reporting capability. The reports gives the user an excellent tool by which to work, maintain, balance and control their charged off portfolio.

Some reports are:

1. System Codes Report (fed class, bankruptcy, judgment, etc)
2. System Dates Report – Future or Past (judgment, bankruptcy, garnishment)
3. Past Due Report – Scheduled or Bankruptcy Court
4. Recoveries Report (all dollar activity for period specified)
5. Full Trial Balance
6. Trial Balance – Total Only
7. Dollar Activity Report (by fed class or officer number)
8. 1099-C Report
9. Monthly Board Report

SSNO/ Tax ID Verification (when available)
This feature will compare each social number and tax identification in your loan and deposit master with each account in the COPS system. Details on each matched charged off account will be included on the Matched SSNO Report.

Platform Interfacing (when Available)
Real time verification with your platform software. If charged off accounts are detected when new loan or deposit accounts are originated, a message is displayed at the loan officer or customer service reps PC. The message will display “Active Charged Off In File”. This type of information is critical when approving a loan request or possibly capturing funds on a new deposit.

Credit Bureau Reporting
Provides your credit bureau with accurate and up to date information on your charged off accounts. This is accomplished with a monthly extract that uses the standardized Metro-2 format. This format is accepted by most all bureaus.

Automated Conversions
Most banks request that their current accounts be converted to the Cops system automatically. This will require some form of automation of your current file. We have converted from a wide variety of different PC and mainframe systems. If manual conversions are required, we have made the process fast and user friendly.

Installation Requirements
The Cops system was designed to be easily installed and independent in processing . It is not dependent on your core software. You can upgrade your core software, convert to another vendor or outsource your DP services and still retain your COPS system. It can be installed on one PC, on a server in your network or included in your ancillary menu.

Customer Satisfaction
Our COPS system has been well received by its user base. We currently have installations in Georgia, Tennessee and South Carolina.
